A distributed device footprint without a single source of truth

  • Limited centralized visibility into active and inactive workforce timekeeping devices across distributed operational environments.
  • Inconsistent tracking of device models, authentication types, and connection methods, which complicated operational support and migration planning.
  • The existing environment increased the risk of device loss, incomplete inventory visibility, and inefficient migration coordination during the platform transition.
Solution

What I led

Head of Device Management. Analysis first, then a migration plan and a governance model the operation could run after the platform change.

Device and ecosystem analysis

Analyzed workforce operational and device ecosystem data to identify device models, authentication types, IVR dependencies, and network connection methods across sites.

Inventory ownership and vendor reconciliation

Tracked the full clock inventory and reconciled it against vendor counts, adjusting records based on the underlying data so orders and billing matched the real footprint.

Site-by-site hardware determination

Assessed each location to determine what it needed: WiFi adapters, fingerprint, or face recognition, then ordered the WiFi adapters and tracked fulfillment per site.

Vendor discovery, contracts, and procurement

Led vendor discovery meetings, negotiated contract and MSA agreements, and acted as procurement owner for those contracts.

Budget forecasting and cost comparison

Built budget forecasting plus a current-state versus future-state cost comparison to support the investment decision.

Requirements tracking and documentation

Tracked and documented requirements as Head of Device Management, and authored the official clock install guide used in the field.

SME training and change management

Trained internal SME's on the new install and support model and provided change management so teams were ready before devices arrived.

Future-state governance documentation

Created future-state operational planning documentation, including device governance recommendations, vendor comparison analysis, contract and MSA input, and budget forecasting.

Cross-functional partnership

Partnered with device management, payroll, field operations, and vendor teams so inventory, support ownership, and escalation paths were agreed before migration activity began.
